CheckIn by WalkInCheckIn respects your privacy. This policy explains how we handle personal information when you use our website and interact with us, in accordance with the Australian Privacy Principles.
This Privacy Policy explains how CheckIn by WalkInCheckIn (“CheckIn”, “we”, “us” or “our”) handles personal information. CheckIn provides real-time front-of-house software — a live walk-in queue, self-service kiosk, client CRM and loyalty — for nail salons, hair salons, day spas and other beauty businesses in Australia.
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy sets out what personal information we collect, why we collect it, how we use and disclose it, and the choices and rights you have.
This policy applies to:
Where a salon, spa or other business uses the CheckIn product to run its front desk, that business decides what client information it collects and why. In that context we act as a service provider that processes information on the business’s behalf. See “Information we process for our customers” below.
When you book a demo, request early access or otherwise contact us, we collect the details you choose to provide, which typically include:
If you email or call us, we also keep a record of that correspondence.
When you visit the site, we and our analytics and advertising partners may automatically collect technical and usage information, including your IP address, approximate location (derived from your IP address), device and browser type, operating system, the pages you view, the links you click, referring URLs and the dates and times of your visits. Much of this is collected using cookies and similar technologies — see our Cookie Policy for detail and your controls.
We do not seek to collect sensitive information (such as health, racial or ethnic details) through this website. Please do not include sensitive information in enquiry messages.
We use personal information to:
We only collect personal information by lawful and fair means, and where it is reasonably necessary for one or more of our functions and activities.
We do not sell your personal information. We may disclose personal information to:
Some of our service providers store and process information outside Australia, including in the United States and the European Union. Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles, and we rely on the recipient’s own contractual and legal protections.
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include encryption in transit (HTTPS), access controls, and limiting access to those who need it. You can read more about how the CheckIn product is built on our Security page.
No method of transmission or storage is completely secure, so while we work hard to protect your information, we cannot guarantee absolute security.
We keep personal information only for as long as it is needed for the purposes described in this policy, or for as long as we are required to keep it to meet legal, accounting or reporting obligations. When we no longer need it, we take reasonable steps to de-identify or securely destroy it.
We may send you information about our product and relevant offers where the law allows. You can opt out of marketing at any time by using the unsubscribe link in our emails or by contacting us at hello@walkincheckin.com.au. We will action opt-out requests within a reasonable time. You may still receive non-promotional messages about an enquiry you have made.
You may ask us to access the personal information we hold about you, or to correct it if it is inaccurate, out of date or incomplete, by emailing hello@walkincheckin.com.au. We will respond within a reasonable time. We may need to verify your identity first, and in limited cases the law allows us to decline a request — if we do, we will tell you why.
When a salon, spa or other business uses the CheckIn product, that business decides what personal information about its own clients and staff it collects and how it is used. In that context the business is responsible for that information, and we process it on the business’s behalf and under our agreement with them.
If you are a client or staff member of a business that uses CheckIn and you have a question or request about your personal information, please contact that business directly, as they control it. We will assist our customer to respond where appropriate.
We comply with the Notifiable Data Breaches scheme under the Privacy Act. If a data breach is likely to result in serious harm to affected individuals, we will notify those individuals and the Office of the Australian Information Commissioner (OAIC) as required by law.
The site and the CheckIn product are intended for business owners and operators, not for children. We do not knowingly collect personal information from children through this website. If you believe a child has provided us with personal information, please contact us so we can delete it.
The site may link to third-party websites and services that we do not control. This policy does not apply to those sites, and we are not responsible for their content or privacy practices. We encourage you to read the privacy policy of any site you visit.
We may update this policy from time to time to reflect changes to our practices or the law. When we do, we will change the “last updated” date at the top of this page. Significant changes may be notified more prominently. Please review this page periodically.
If you have a question about this policy, or would like to make a privacy request or complaint, contact us at hello@walkincheckin.com.au. We will acknowledge your complaint and aim to resolve it within a reasonable time.
If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
